Every load and every inspection, on record once

For construction-logistics hauliers running tipper, muck-away, aggregates and plant work, and the commercial-vehicle workshops that inspect their lorries. Tickets and inspection records captured once, checked the same day and ready in each customer’s format.

01On record

What has to be on record

Hauliers

  • Load tickets for every tipper, muck-away, aggregates or plant movement, with the vehicle, the site and the time.
  • Under the CLOCS Standard, lorry operators are expected to meet FORS Silver or an equivalent, with evidence as the procurer defines it.
  • Digital waste tracking has receiving sites record each load’s carrier and vehicle registration, with carriers joining later.

Workshops

  • Each safety inspection record shows the operator, the date and ISO week, the vehicle, the odometer reading, the full item list and any defects, the rectification, and a named, signed, dated roadworthiness declaration. A brake performance assessment is expected at every inspection.
  • The Maintenance Provision Rating Scheme asks for evidence of training, calibrated tools and quality processes.
  • DVSA Earned Recognition asks for 100% complete and correct inspection records.

02First workflow

The first workflow we would build

One of these, chosen with you in the workflow review.

Hauliers: load tickets to invoice

The driver records each load once, on a phone, with a photo of the ticket. The office sees every load against the job and the customer, checks what is missing the same day, and produces the invoice schedule in the customer’s own format instead of re-typing tickets at month end.

Workshops: the inspection evidence pack

The technician works through the inspection sheet on a tablet: the item list, photographed defects, the brake-test printout and the rectification. Sign-off stays blocked while anything is missing. The declaration is signed once, and the pack is produced in each operator’s format.

03Dates that matter

Dates that matter

  • From 1 October 2026, receiving sites record each load’s carrier and vehicle registration for digital waste tracking; carriers join in October 2027.
  • The CLOCS Standard, version 5, has been in effect since 1 March 2025.
  • The Maintenance Provision Rating Scheme, run by IRTE, launched on 29 April 2025, with five tiers.
  • Inspection records are kept for at least 15 months; electronic records must be tamper-proof, with an audit trail and a digital signature.

04Example

An example

A short 3D walkthrough with fictional data follows one lorry through an inspection bay: the full item list, the brake test, a defect rectified and the declaration signed only when nothing is missing.

05Licences

Built in the Microsoft 365 you already have

Microsoft 365 business plans include standard Power Platform connectors at no extra cost, and Microsoft 365 F3, for frontline staff, includes Power Apps and Power Automate for Microsoft 365 data. Anything needing an extra licence is flagged in the review, before you decide.

Next step

Which ticket or inspection record takes the most chasing?

Tell us about one: load tickets, inspection sheets, brake tests or the pack each operator asks for. We will talk it through and suggest a sensible next step.
