Every item accounted for

Follow one physics prep room through a term: every item in its place, the monthly source check, a booking to Lab 3, one late return, the checks coming due and the termly summary.

Illustrative only, with fictional data. This shows record-keeping, not radiation protection advice. Your employer, your radiation protection adviser and your local rules decide what you record; CLEAPSS guidance L93 is the usual reference.

Interactive walkthrough

How the walkthrough works

Six short chapters follow one prep room through a term. Schools that hold sealed sources keep a source register and a use log, and check the sources visually every month.

Guided playback takes about a minute and a half. You can pause at any time, choose a chapter, or take each step yourself.

  1. Every item has a place
  2. The monthly source check
  3. Booked out to Lab 3
  4. Signed back in, except one
  5. Checks coming due
  6. The termly summary

  1. Chapter 01 of 06

    Every item has a place

A miniature physics prep room: shelving with labelled trays along the back wall, a small metal source store with a warning sign, a bench and a trolley, and the technician holding a tablet. A second plinth to the right shows Lab 3.
Every item has a shelf, a tray and a record.

Morning in the physics prep room at School A. The technician’s tablet shows the whole inventory at a glance: 214 items, 3 sealed sources, 4 items out and 1 check due this week.

The technician scans the label on tray PH-0142, the radioactivity demonstration kit on shelf 3, and its record lights up: every item present, last checked and where it belongs.

Everything in this walkthrough is illustrative. The school, people, items, times and dates are fictional.

    The monthly source check

Close to the technician’s tablet: the monthly check for sealed sources S1 to S3, each marked present with a photo, initials and a time.
Each check recorded as it is done, with a photo, initials and the time.

The technician opens the locked source store for the monthly check. Each of the three sealed sources, S1 to S3, is checked in turn: present, container intact and label legible.

Each check is recorded on the tablet with a photo, the technician’s initials and the time. When the last one is done the record completes, the store is locked again, and the next check is set for a month later.

  3. Chapter 03 of 06

    Booked out to Lab 3

The trolley on its way from the prep room to Lab 3, with the route line tracing its journey between the two plinths.
A requisition becomes a booking, and the use log records every source that leaves.

A teacher’s requisition for a radioactivity demonstration in Lab 3 pulls up the kit list: tray PH-0142 and the three sealed sources.

The technician books them out. The use log records each source going out, with the time, initials and purpose, and the trolley travels along the corridor to Lab 3.

The sources come back after the lesson and are signed in. The use log closes at 12:40, and the store is locked.

At 16:00 a data logger lent to Lab 3 is still out. Its record turns overdue, and the technician sends the borrower a reminder from the tablet.

The data logger comes back the next morning, and the overdue return is resolved.

A thirty-day view shows what is coming: the leak test, booked with the school’s provider, with a slot waiting for its certificate; and two electrical items due on the school’s own schedule. Each has an owner and a due date.

Bring one: the source register, the use log, bookings and returns, or the checks that come due. We will talk it through and suggest a sensible next step.
